1.7 Work Scheduling

  • Hours of Work

    Each employee’s hours of work are established and set out in their employment contract. Regular full-time Administrative employees’ regular work week is 37.5 hours over five days. Employees of the Facilities Department work a 40-hour work week over five days.
  • Breaks

    Administrative and Facilities employees are entitled to a fifteen minute break in the morning and afternoon and one half-hour lunch break.
  • Attendance

    Crescent School expects all employees to assume diligent responsibility for their attendance and promptness.

    Faculty who are unable to work because of illness or emergency must notify their Division Head and the Coverage Coordinator as soon as possible so that a supply teacher may be arranged.

    Administrative and Facilities employees who are unable to work due to illness or emergency must notify their Supervisor before the start of the workday.

    To ensure that accurate records are kept of the hours employees actually work and of accrued leave time taken and to ensure that employees are paid in a timely manner, employees will be required to record time worked and absences and submit the record on a monthly basis to the employee’s Supervisor. These in turn will be forwarded to the People and Culture for recording and processing. Absenteeism or tardiness that is unexcused or deemed excessive by the School is grounds for corrective action.
  • Health Care Appointments

    Wherever possible, employees are requested to arrange health care appointments at times other than during the normal working day. Permission for such absences should be directed to the employee’s Head of School or Supervisor in advance of the appointment.
  • Overtime Compensation

    Administrative Employees: In the normal course of their job, employees occasionally work overtime. An employee who is eligible for overtime compensation must first receive approval from their Supervisor and the Chief Financial Officer or People and Culture prior to working the overtime. Approved overtime will be compensated at straight time (i.e. one hour for one hour) up to 44 hours per week. After 44 hours, overtime will be compensated at the rate of time-and-one-half. In most cases, overtime will be compensated by time off in lieu of pay, at the rate of 1½ hours of paid time off, at the applicable regular rate, for each hour of overtime worked. 

    Paid time off should be taken within three months of the week in which the overtime was earned, and must be taken within 12 months. Employees and their Supervisors are responsible for maintaining accurate overtime records.

    If an employee’s job ends before they have taken the paid time off, the employee will receive overtime pay for the overtime hours that were worked, no later than the later of:
    • seven days after the date the employment ended; or
    • on what would have been the employee’s next payday.
    Facilities Employees: Facilities employees will normally work a 40-hour week. From time to time, overtime will be requested of the Facilities employees by the Facilities Director. When such overtime is worked, it will be compensated at the rate of time-and-one-half for hours exceeding 40 hours in a work week. Paid time off should be taken within three months of the week in which the overtime was earned, and must be taken within 12 months. Employees and their Supervisors are responsible for maintaining accurate overtime records.

    Managers and Faculty are not eligible for overtime and are expected to schedule their own work to meet the requirements of their position. Managers and Faculty should arrange their work schedule to accommodate both their obligations to the School and their family care responsibilities, health care appointments, religious observances, bereavement leave and other personal needs.
  • Statutory, Public, and Crescent Holidays

    Employees are eligible for paid time off for the following public holidays:

    • Labour Day
    • Thanksgiving Day
    • Christmas Day
    • Boxing Day
    • New Year’s Day
    • Family Day
    • Good Friday
    • Easter Monday (not a statutory holiday) 
    • Victoria Day
    • Canada Day
    • Civic Holiday (not a statutory holiday)

    For 2024/2025, Crescent School will offer a total of five paid school holidays: one day at Thanksgiving long weekend, two days at November mid-term break, one day at the February mid-term break, and one day at Victoria Day (May long weekend).

    Administrative staff are eligible for five paid days during the winter break and five paid days during the March break for a total of 10 days (pro-rated for part-time staff) per school calendar year. Employees must be gainfully employed with Crescent School at the time of the breaks to be entitled.
