Winter Storm

When a winter storm emergency seems imminent (Preceding Day)

Procedures:
Daytime (weekdays):
 
  1. An email will be sent to parents and staff/faculty notifying them of the possibility of a weather-related school closure the next school day 
  2. Parents (and staff) will be instructed to look for communication from the school (via email, Green Room notification and/or Crescent phone recording) by 6:30 a.m. the next morning before bringing their sons to school or travelling to work.
    1. Responsibility:
      1. Headmaster's Office: Sends notification email to staff
      2. MarComm Department: Sends notification email to parents

Early morning closure

  1. The Headmaster will consult with other Toronto Independent School Heads or Assistant Heads to collectively determine school closure. 
  2. If the decision is made to close the school, in response to weather information and in consultation with other Headmasters, the following procedure will be followed:
    1. The decision to close the school will be made by 6:00 a.m.
    2. The Headmaster’s Office will relay the decision to close the school to the Leadership Team, who in turn will advise members of the MarComm, IT, Athletics and Enrolment departments (the latter two groups in the event that planned events/meetings require cancellation or rescheduling). If the decision made is for the school to close, communication responsibilities will be as follows:
      1. MarComm
        1. Green Room – A "Winter Storm – School Closed" banner will be posted on the Green Room login and home pages
        2. Staff and parent email – A "Winter Storm – School Closed" email will be distributed to all staff and Crescent parent community
      2. IT
        1. Recorded telephone message – A pre-recorded phone message announcing the school closure will be activated
  3. Parents should note that the school will be “open” for those students who have set out before closure was announced and for those who are unable to make alternative arrangements for young students. No school program will be offered, but students arriving at school will have a warm place in which to wait and a place in which to work, until such a time as their parents are able to return and pick them up.

For closure during the school day

In the event of worsening weather conditions while school is in progress, a decision may be made to close the school in order to allow students to get home before closure of the transit system makes it impossible or before conditions worsen, making it difficult to get home.

In this instance, the following actions will be taken:
  1. The Headmaster will send an email to all staff, advising them of the decision to close the school and that parents have been notified. Faculty should not leave the school until their students have left the building or alternative supervision has been arranged
  2. MarComm will send an email to parents, advising them of the school closure and asking them to arrange for student pick-up. Parents will be assured that the students will have a warm place in which to wait and a place in which to work, until such a time as their parents are able to pick them up.
  3. Boys in Grades 3–6 will be allowed to use the school telephones to inform parents and ask for instructions.
  4. Boys in Grades 7–12 will be allowed to leave unless their parents wish them to stay at school. Students will be allowed the use of the telephones when the Grades 3–6 boys have finished.
  5. Any boy wishing to stay at the school can do so until his parents can make alternative arrangements. There will be staff members at the school and students will be safe and warm while awaiting pick-up.

Where weather conditions, whether imminent or occurring, jeopardize the safety of our staff, renters and guests to travel, a decision may be made to cancel events in the school outside of normal business hours, including school events, tournaments and rentals. In this event, the following procedures will be followed:

      3. Place sign on the planned point of entry to the event, if available, announcing the closure
  1.  Rental event – Facilities / Rental Coordinator
    1. Contact rental client to advise of school closure
    2. Place a sign on the planned point of entry to the event, if available, announcing the closure.
